Weekly Management Report: A Monday-Morning Template

A good weekly management report fits on one page and answers three questions before the Monday meeting: what happened last week, is anything off track, and what are we doing about it. Use five sections (a short summary, a handful of KPIs against last week and target, exceptions, actions with owners, and data notes), keep the definitions fixed from week to week, and automate it so it is ready before anyone asks.

The five sections
- Summary, in three sentences: the headline, the biggest risk and the one decision needed.
- KPIs: four to six numbers, each with last week, this week and the target.
- Exceptions: anything outside an agreed tolerance, with a one-line reason.
- Actions: who is doing what by when, carried forward until done.
- Data notes: late data, gaps or changes in definition that affect the numbers.
The summary is the part most people read, so write it last and make it specific: 'Orders fell 12% week on week, mostly in Gauteng, after a stock-out of our two best sellers. Stock arrives Wednesday. Choosing the weekly numbers
Pick measures that can move in a week and that someone can act on. Revenue for the month is a poor weekly number; orders, enquiries, open tickets and cash collected are good ones. The guide to choosing the right KPIs explains the difference between leading and lagging indicators.

Comparing weeks fairly
Week-on-week comparisons are noisy. A public holiday, month-end or the 25th (a common payday) can swing a week by itself, so show a four-week average or the same week last year alongside last week, and note holidays in the data notes. Compare like with like: five trading days with five, not with a four-day Easter week.

For a weekly chart, add a text column such as `Week` with values like 2026-W40 (the ISO week format sorts in the right order), and ask for the measures by `Week`. Automating the Monday report
The weekly report is the one most worth automating, because it is due every week whether or not anyone has time. Review the report every quarter. Drop measures nobody discusses, add one the meeting keeps asking about, and check that the actions list is getting shorter, not longer. A weekly report that drives one good decision a week is doing its job.
Frequently asked questions
How long should a weekly management report be?
One page, or one screen. If it needs more, the extra detail probably belongs in a monthly report or an appendix. The summary and the exceptions are what the meeting will actually discuss.
Which day should the weekly report go out?
Before the meeting it serves, usually early Monday morning. Make sure the data for the previous week is complete by then; if some figures arrive later, note that in the data notes rather than delaying the report.
Should the weekly report include targets?
Yes, where a sensible weekly target exists. A number without a target or a previous period tells the reader very little. If you only have monthly targets, show progress to date against the month instead.
Can the report compare this week with last week automatically?
Yes, if the data has a week column to break the numbers down by. Include the last few weeks with a Week column and ask for the measures by Week. The headline KPIs then cover every week in the dataset, so keep the window short, such as four weeks, and say so in the report.
